The University of Nottingham is seeking a detail-oriented and customer-focused Income Assistant to join the Income Team within the Income & Collections Department. Reporting to the Income Team Leader, the postholder will play a vital role in supporting the University’s financial operations by handling payments, managing financial enquiries, and ensuring accurate allocation of income across multiple financial systems.

The Income Assistant provides a people-centred service, offering guidance to students and staff while processing payments related to tuition, accommodation, sponsorship, commercial activity, and other university services. This role requires accuracy, professionalism, and strong administrative capability to maintain financial integrity and support a positive customer experience.

Key responsibilities and expectations include:

  • Allocating and posting student, commercial, and sponsor payments received by bank transfer, card, cheque, post, or in person.
  • Producing receipts for payments relating to student charges, sponsorships, and commercial invoicing.
  • Correcting mis-postings and matching part or full payments to outstanding invoices or charges.
  • Reviewing credit balances and initiating refunds or reallocations as required.
  • Recording and managing cheques, petty cash entries, and daily cash banking for security collection.
  • Processing card, Moto, and telephone payments and reconciling end-of-day reports.
  • Managing multiple customer service inboxes and handling financial enquiries from staff and students.
  • Providing counter services for payment enquiries and issuing of pre-loaded cards or cash where required.
  • Supporting the Payment Security Officer with terminal inventory checks, site visits, and compliance reviews.
  • Assisting with credit control and invoicing during busy periods or staff absences.
  • Contributing to continuous improvement within Income & Collections.

About the successful candidate:

  • Minimum of 5 GCSEs (including Maths and English) or equivalent.
  • Previous experience in cash handling, finance, or accounting processes.
  • Strong administrative and organisational skills, with excellent attention to detail.
  • Confident communicator with proven customer service experience.
  • Ability to remain calm under pressure and manage a varied workload.
  • Proficient in Microsoft 365 (Word, Excel, Outlook); experience with finance systems desirable.

Working arrangements and contract:

  • Part-time, 21.75 hours per week, Monday to Friday, 8:45 AM – 5:00 PM (fixed hours).
  • Hybrid: mix of on-campus work in Nottingham and remote working from home.
  • Fixed-term contract until 1 June 2026.
