exas State University invites applications for the position of Senior Proposal Coordinator, a full-time permanent role based in San Marcos. The successful candidate will support the university’s research mission by coordinating all aspects of grant proposal preparation, submission, and budget development in collaboration with faculty and research teams. The role plays a critical part in ensuring high-quality, compliant submissions to federal, state, and private funding agencies.

Working within the Office of Sponsored Programs, the Senior Proposal Coordinator provides guidance on proposal strategy, budget formulation, regulatory compliance, and electronic submission processes. Responsibilities include advising principal investigators on sponsor guidelines, reviewing proposal packages, managing budgetary justifications, coordinating documentation requirements, and ensuring alignment with institutional, state, and federal regulations—including 2 CFR 200 (Uniform Guidance). The position also promotes the effective use of federally negotiated F&A rates and supports internal review and routing for institutional approvals.

The coordinator will maintain a deep and current understanding of submission systems such as Grants.gov, Research.gov/NSF Fastlane, and agency-specific portals, while serving as a resource for policy interpretation and training. Duties extend to proposal data administration, documentation tracking, effort commitment monitoring, preparation of award handoff packages, and proactive faculty support. Clear communication, analytical budgeting skills, and customer-oriented service are essential.

Applicants must hold a bachelor’s degree, demonstrate experience in budget development, proposal preparation, and regulatory compliance, possess strong written and verbal communication skills, and be comfortable training faculty and staff. Knowledge of accounting and audit standards (GASB/GAAS) is required. The role requires strong organizational skills and the ability to balance priorities under deadlines.
